Getting started with XEN

Create the organization, invite the team and get the catalogs ready before recording the first operation.

Order matters more than speed. These four steps avoid most of the corrections that later force you to touch documents already issued.

1. Create the organization

From Business, in My Organizations, the wizard asks for type, country, address, tax identity, brand and plan. Check the country and base currency before creating it because they are part of its accounting configuration.

2. Invite the team with the right role

From Human Resources, in Team and permissions, invite each person by XEN user or by email and assign the role at the moment of inviting, not later. A user who enters with too many permissions rarely loses them on their own.

3. Load the catalogs first

Customers, suppliers and items live in XEN Core. Everything else rests on them: if you record sales before the catalog is right, you will end up correcting documents already issued.

  • Use a unique code per item and stick to it. It is the key that inventory and accounting use to understand each other.
  • Decide whether two presentations are two items or one item with two units of measure before the first purchase.
  • If you sell in Peru, check that each item has its unit of measure and its tax treatment.

4. Pick a cutoff date

Do not migrate the full history. Choose the first of a month, load the opening balances and start operating from there. The previous system stays as a reference until it is no longer needed.

With those four steps done, the first sale and the first entry come out right the first time.
