Issue the first sales document

In XEN, a sales document is issued from Sales, in Issue Document. The same screen serves for an Electronic Invoice, a Boleta or an internal Sales Note, and for the credit and debit notes that correct a receipt already issued.

1. Choose the document type

Select an available document type for your organization. An invoice records a customer sale; a sales note keeps an internal transaction. The selected type determines the required fields.

2. Customer, lines and terms

Find the customer by name or identifier. Add catalog items and review prices, taxes, currency and payment terms before continuing.

3. Save draft, Schedule or Issue

  • Save draft keeps the document prepared with no number and no submission. Useful to review it or to let someone else complete it.
  • Schedule sets a future issue date. The document issues itself that day, with the numbering of that moment.
  • Issue assigns the series number and processes the document using the organization’s configuration.

4. Check the state

After issuing, the document appears in the receipt list with its state: accepted, pending or observed. The state is stored next to the document and is the one that counts. An accepted receipt is never edited: if it has an error, it is corrected with a credit note from the same document.
