To issue a sales document you need two things: who you sell to and what you sell. Both live in XEN Core, the organization's master catalogs.
1. Create the customer
In XEN Core, open Customers and click New. The editor has two modes, Simple and Complete. Simple asks for the essentials to invoice: document type and number, legal name or personal name, and address. Complete adds contacts, payment terms, assigned salesperson and commercial details.
Complete the tax identifier and legal name where applicable. Save to make the customer available for sales documents.
2. Create the item
In XEN Core, open Items and click New to open Create new Item. Decide first whether it is a product or a service: a product has stock and units; a service does not.
- Code: unique and stable. It is the key that inventory, sales and accounting use to understand each other.
- Name: as the person who sells calls it, not as the supplier calls it.
- Unit of measure and tax treatment: both travel in every receipt.
- Sale price: the one that appears by default when the item is added to a document.
3. Check that they show up
Open Sales and start a new document: the customer appears in the customer search and the item in the line search. If something is missing, check that both are marked active.
With both catalogs ready, the next step is the first sale. Issue the first sales document
